Acceptable Use Policy

This Acceptable Use Policy ("AUP") supplements the Terms of Service and applies to all users of the Project Log platform, including company administrators, team members, and customers who access the Service through a company's subscription.

1. Overview

Project Log is a business tool designed for service companies to manage projects, communicate with customers, and run their operations. This policy sets expectations for appropriate use and helps protect all users, their data, and the platform's reliability.

Violations of this policy may result in warnings, account suspension, or termination as described in Section 9 of the Terms of Service.

2. Prohibited Activities

You may not use Project Log to:

  • Violate any applicable law, regulation, or third-party rights
  • Send unsolicited bulk messages (spam) via SMS, email, or in-app messaging
  • Upload or distribute malicious software, viruses, or harmful code
  • Attempt to gain unauthorized access to accounts, data, or systems belonging to other users or companies
  • Circumvent or interfere with security features, access controls, or usage limits
  • Scrape, crawl, or use automated tools to extract data from the platform
  • Resell, sublicense, or redistribute access to the Service without written permission
  • Impersonate another person, company, or entity
  • Use the Service in connection with any activity that could harm minors
  • Upload or share content that is illegal, obscene, defamatory, or that violates others' rights
  • Interfere with or degrade the performance of the Service for other users
  • Use the platform for purposes unrelated to legitimate business operations

3. Communication Guidelines (SMS & Messaging)

Project Log provides SMS and in-app messaging for business communication between service companies and their customers. These features are subject to additional rules:

3.1 Consent

  • You must have prior consent from recipients before sending SMS messages
  • Customer consent is obtained during the onboarding process when they provide their phone number for project communication
  • You must honor opt-out requests promptly

3.2 Content

  • Messages must be related to legitimate business operations (project updates, scheduling, estimates, invoices, etc.)
  • Marketing or promotional messages are not permitted through the platform's SMS feature
  • Messages must not contain illegal, threatening, harassing, or discriminatory content

3.3 Volume

  • SMS usage is subject to the limits of your subscription plan
  • Sending patterns that resemble spam or abuse may trigger automatic throttling
  • Repeated violations of SMS guidelines may result in messaging privileges being suspended

3.4 Compliance

All SMS communication through Project Log must comply with the Telephone Consumer Protection Act (TCPA), CAN-SPAM Act, and applicable carrier policies. You are responsible for ensuring your messaging practices comply with these regulations.

4. Content Standards

Content uploaded to or created within the platform (photos, documents, project descriptions, messages, notes) must:

  • Be relevant to your business operations
  • Not infringe on the intellectual property rights of third parties
  • Not contain malware or executable code disguised as documents or images
  • Not include sensitive personal information beyond what is necessary for the business relationship (e.g., do not store Social Security numbers or government IDs in project notes)

Company administrators are responsible for setting and enforcing appropriate content standards for their organization's use of the platform.

5. System Usage and Technical Limits

  • API Usage: If your plan includes API access, requests must not exceed documented rate limits. Automated scripts that degrade platform performance for other users are prohibited.
  • File Storage: File uploads are subject to per-file size limits and total storage quotas per your subscription plan. Storage should be used for business-relevant files only.
  • Concurrent Users: User limits are per your subscription tier. Sharing credentials to circumvent user limits is prohibited.
  • Automated Access: Bots, scrapers, and automated tools may only access the platform through documented API endpoints with valid authentication. Automated access to the web interface is not permitted.

6. Data Handling Responsibilities

As a company using Project Log to manage customer relationships:

  • You are responsible for the accuracy and lawfulness of the data you enter into the platform
  • You must have a legal basis for storing and processing your customers' personal information
  • You must inform your customers about your data practices, including your use of Project Log as a service provider
  • You must respond to data access, correction, or deletion requests from your customers in a timely manner
  • You should not store sensitive categories of data (health records, financial account numbers, government identifiers) in the platform unless a specific feature is designed for that purpose

7. Third-Party Integrations

  • When connecting third-party services (Stripe, QuickBooks, EagleView, Google Calendar), you must have authorization to connect those accounts
  • Integration credentials should only be managed by authorized administrators
  • You are responsible for understanding the data that flows between Project Log and connected services
  • Disconnect integrations promptly when they are no longer needed or when team members who set them up leave your organization

8. Reporting Violations

If you believe another user or company is violating this policy, contact us at abuse@projlog.app with details about the violation. We will investigate reports in a timely manner and take appropriate action.

Reports can be made anonymously. We will not retaliate against users who report violations in good faith.

9. Enforcement

Violations of this policy may result in one or more of the following actions, depending on the severity and frequency of the violation:

  • Warning: Written notice of the violation with a request to correct the behavior
  • Feature Restriction: Temporary suspension of specific features (e.g., SMS messaging)
  • Account Suspension: Temporary suspension of the account pending investigation
  • Account Termination: Permanent removal from the platform, as described in Section 9 of the Terms of Service

We will provide notice before taking enforcement action except in cases involving illegal activity, imminent harm, or severe security risks.
